About the service
I create renewal tracking systems for insurance agents and brokers whose client base has grown so much that keeping track of expiration dates for dozens or hundreds of policies in your head or in scattered spreadsheets is no longer possible. I enter each client and each of their policies with expiration dates once — and then the system itself tracks the calendar, not the manager manually flipping through contracts looking for those needing renewal.
After launch, the manager receives automatic notification one month before the policy expires and a second one a week before, so there's always time to contact the client, prepare an up-to-date offer based on the terms, and complete the renewal before the old policy stops working. I separately configure a weekly summary — a list of all policies expiring in the next seven days, grouped by clients, so Monday morning starts with a ready-made call plan, not a manual review of the database.
I build the system around what you're already using — a spreadsheet, simple database, or CRM — you won't need to switch to a new tool just for reminders.
What's included:
— one-time entry of clients and policies with expiration dates, thereafter — updates only
— automatic notifications one month and one week before expiration
— weekly summary of upcoming renewals by client
— delivery to email or messenger — whichever is more convenient for the team
