Project description
We run a community food bank and until now we have tracked everything on paper: donation logs in one binder, recipient families in another, and a whiteboard for who is coming to collect this week. It no longer scales. We accept donations from grocery chains, farms, and individual drives, some fresh and perishable, some canned and dry, and we constantly lose track of what is expiring and what we already gave out. We need a proper web application that manages intake, inventory with expiry dates, client registration and eligibility, distribution, volunteer scheduling, and the reports our funders demand every quarter.
Donation intake should let a volunteer record each incoming item or pallet with category, weight or unit count, source, storage location, and an expiration date, then have the system flag anything approaching expiry so we distribute it first. Inventory must show real stock by category and location, warn on low levels of staples like rice and infant formula, and support both weighed goods and counted goods. Client and family registration needs to capture household size, contact details, dietary restrictions, and eligibility rules so a family is not served twice in the same period, with a quick check-in when they arrive. Distribution and appointments should let people book a pickup slot, let staff assemble a package against household size, and deduct issued items from stock automatically.
Volunteer scheduling should cover shifts for sorting, packing, and distribution days, with roles and simple reminders. Finally we need reporting: pounds received and distributed, families and individuals served, waste and expiry losses, and breakdowns by source and category that we can export for grant applications and board meetings. Please build it clean and simple so non-technical volunteers can use it on a laptop or tablet.
