Project description
We are a nonprofit organisation and we currently track our donors in a tangle of spreadsheets, and it no longer works. Contact details live in one file, giving history in another, pledges and thank-you notes are scattered across email threads, and every time we prepare a campaign we rebuild the same lists by hand. We need a proper donor CRM that holds each supporter as a single record: personal and contact information, communication preferences, the full history of their gifts, notes from calls and meetings, and the tags and segments we use to group them. When a colleague opens a donor, they should see everything at a glance and never have to ask three people where the latest number lives.
Around those records we need real fundraising tools. We run several campaigns and appeals a year and want to plan each one, set a goal, attach it to a landing page and an online donation form, and watch progress against target in real time. Donations must work both as one-off gifts and as recurring monthly commitments, with card payments processed cleanly and every transaction written back to the donor's history automatically. Each completed gift should generate a receipt or acknowledgement that we can send by email, and recurring donors should be able to update or cancel their own plan without writing to us. We also need segmentation we can actually use: lapsed donors, major givers, first-time supporters, people tied to a particular campaign, so we can address the right message to the right group.
Finally we need reporting that answers the questions our board asks. Total raised per campaign and per period, average and recurring gift value, retention and lapse rates, and a clean export we can hand to the accountant at year end. The system should be simple enough for non-technical staff and volunteers to use daily, respect donor privacy and consent, and give us a dependable single source of truth instead of the spreadsheet chaos we have now.
