Insurance Claims Intake and Payout Workflow

We are an insurance and loss-adjusting firm, and right now every claim reaches us as a loose thread of emails. A client writes in describing an accident, attaches photos of the damage, scans of the policy and receipts, and from that moment the file lives in someone's inbox. We manually forward it to an adjuster, chase missing documents by replying back and forth, copy figures into spreadsheets, and try to remember which claim is waiting on approval and which is ready to pay. As the volume grows this stops working: cases get lost, deadlines slip, and neither the client nor our managers can tell what stage a claim is actually at.

We need a workflow application that turns this chaos into a clear pipeline. It should let a claim be opened from an intake form or from a forwarded email, capture the policy number, the type of loss and a description, and hold all uploaded documents and photos attached to one case. From there a manager assigns an adjuster, the adjuster records the assessment and a repair or loss estimate, and the case moves through defined stages: intake, review, assessment, approval, and payout. Every change of status should be logged with a timestamp and an author so we always know who did what and when.

Status tracking and reporting are just as important as intake. Each participant needs a view of their own queue, clients should see the current stage of their claim, and management needs summary reports by period, by adjuster and by claim type, including average handling time and total amounts paid.
