About the service
I set up automatic generation of acts for write-off of defects and damaged goods on a turnkey basis: a storekeeper marks a damaged item directly in the accounting system, and the document assembles itself — with photo documentation, write-off reason and damage amount, without a single manual line in Word or Excel.
I work with typical accounting systems and warehouse WMS: I set up a write-off card, attach mandatory photo of damaged goods and a dropdown list of reasons — breakage, damage, expired shelf life, supplier defect. After confirmation by the responsible person, the act is automatically generated in PDF, goes for signature and simultaneously appears as a line in the loss report, so the manager sees the damage amount in real time, not at the end of the month from paper acts.
I separately think through act numbering and linking to batch and supplier so that by the end of the period it's clear where defects occur most often — at the warehouse, during delivery, or already from the supplier. Setup includes:
— act template for your details and accounting system;
— mandatory photo and storekeeper comment during write-off;
— automatic damage amount calculation by cost price;
— export of summary loss report for the period;
— access rights so only designated employees can write off goods.
