Project description
We run a vehicle leasing business and today every lease lives in spreadsheets that no longer keep up with us. Contracts, vehicles, payment schedules and maintenance records are scattered across separate files, and reconciling who owes what against which car is a manual chore that eats a full day each week. We need one system that brings lease contracts, vehicles and their assignments, and the money flow together, so that opening a single record tells us the full story of a car and the client who holds it.
The core of the job is the contract. Each agreement has a start and end date, a term in months, a residual value, a monthly rate and the vehicle it is tied to. From those terms the system must generate the full payment schedule automatically, raise invoices on the due dates, mark them paid or overdue, and flag contracts approaching their end so we can plan renewal, buyout or return. On the vehicle side we track make, model, VIN, registration, current assignment, mileage and service history, and we need to record maintenance events and inspections against each unit. A vehicle can move between contracts over its life, and the history has to stay intact when it does.
We are not asking for GPS tracking or live telematics; this is about the commercial and administrative side of leasing, not the location of the cars. What matters to us is accuracy of the numbers, clear alerts on overdue payments and expiring terms, and clean end-of-lease processing that closes a contract, settles the final balance and frees the vehicle for the next deal. Please tell us your suggested approach, a realistic timeline, and how you would handle importing our existing spreadsheet data without losing the current balances.
