Project description
We run an animal shelter and right now everything lives on paper. Intake cards, vaccination notes, who fostered which dog, which cat is ready to be rehomed, how much someone donated last month, all of it is scattered across folders and notebooks, and half the time we cannot find the record we need when a family is standing at the door asking about a puppy they saw in a photo. We need one system that holds the whole life of every animal, from the moment it arrives to the day it goes home, so our staff and volunteers stop retyping the same information and stop losing it.

The core of the project is an intake and profile module: each animal gets a card with species, breed, sex, approximate age, arrival date, source, microchip number, photos, temperament notes and current status. Attached to that card we need a medical history that any authorised volunteer can update, covering vaccinations, sterilisation, treatments, weight and scheduled procedures with reminders. Animals cleared for adoption should appear automatically on a public listing with photos and descriptions, and visitors should be able to submit an adoption application through a form that lands in a review queue where we approve, decline or ask for more information, keeping the full history of correspondence in one place.

Around that we need coordination tools: a foster module that shows who is currently hosting which animal and when they are due back, a volunteer directory with roles, shifts and contact details, and a donations ledger that records one-off and recurring gifts, links them to a donor and produces simple monthly totals for our reports. Please build it with clear roles and permissions so a front-desk volunteer sees less than a coordinator, and make it usable on a phone, because most of our people work from the kennels, not from a desk. Key modules we expect:
— animal intake, profiles and status tracking;
— medical records with reminders;
— public adoption listings and application review;
— foster, volunteer and donation coordination.
