Project description
We run a small services agency and we are losing money because nobody really knows how many hours go into each client project. Right now people jot time into spreadsheets at the end of the week, guess at what they did, and half of it never makes it onto an invoice. I want to replace that mess with a proper web application where the team can track worked hours accurately, and where I can turn those hours into clean billing reports for clients without a day of manual copy-paste every month.
The core of the product is time capture done two ways. People should be able to start and stop a live timer while they work, tied to a specific project and task, and they should also be able to add or correct time manually on a weekly timesheet grid. Each entry needs a project, a task, a note, and a billable or non-billable flag, because not everything we do is chargeable. On top of that I want a lightweight approval step: at the end of the week a team lead reviews submitted timesheets, approves or sends them back, and only approved billable hours flow into invoicing. From the approved hours the app should generate a per-client report and a draft invoice showing hours, rates, and totals, exportable to PDF and CSV.
To be clear about scope, this is not a shift-scheduling tool and not a job-queue or ticket dashboard. I do not need rota planning, who-works-Monday rosters, or a live queue of incoming jobs. The whole focus is recording hours that were actually worked and turning them into money owed. Please tell me your suggested stack, whether you would build it as a fresh web app or on an existing framework, and a realistic timeline.
— Live start/stop timer plus manual weekly timesheet entry
— Projects, tasks, notes, and billable vs non-billable hours
— Per-user and per-role rates for accurate cost and billing
— Timesheet submission with lead approval or return
— Client invoicing reports and draft invoices, PDF and CSV export
— Clean responsive web UI, admin panel, and basic reports/dashboards
