Project description
We run a youth club and scouting group, and right now every member and every troop lives on paper. We keep attendance in a battered register, badges and achievements are written on cards that get lost, and parent consent forms pile up in a folder that nobody can search. We need a web system that turns all of this into one calm, reliable place where leaders record who came to each session, what activity the troop did, and which member earned which badge, without hunting through binders every week.
The core of the job is member and group management: a roster of children organised into troops or patrols, each with a profile that holds emergency contacts, medical notes, and the parents linked to them. On top of that we need attendance marked in a couple of taps per session, an activity log with the badges and achievements each activity can award, and progress that any leader can see at a glance. Parent communication has to be built in — consent requests for trips and events, announcements, and a simple record of who has replied and who still needs a reminder. Trip planning should let us build an event, attach the consent form, collect responses, and see headcount and outstanding permissions in one screen.
We are a small volunteer team, so the system must be genuinely easy for non-technical leaders on a phone at the hall, with clear roles so a helper sees only their own troop while the group leader sees everything. Data protection matters because these are children's records, so please plan sensible access control and a way to export or delete a member's data when a family leaves. Deliver it as a working application with a short handover guide.
