Project description
We operate several event spaces that we rent out for weddings, corporate functions and private parties, and right now everything runs through a messy mix of spreadsheets, email threads and a shared paper diary. We are looking for a developer to build a web application that puts venue rental management on solid footing. At the heart of it we need a clear availability calendar for every hall, so our team can see at a glance which spaces are free, which are on a tentative hold and which are firmly booked. When a client sends an enquiry, the app should let us capture their date, headcount and requirements, then turn that into a quote without anyone rekeying the same details three times over.
The booking flow is the core of the project. A confirmed booking should generate a contract from a template we can edit, record the deposit that secures the date, and track the balance due before the event. We also rent optional add-ons such as catering packages, audio-visual equipment and extra furniture, so each booking needs line items that adjust the total automatically. Please keep in mind this is about renting out spaces, not selling admission tickets, and it is not a hotel property system with nightly room stays. Our world is event slots, deposits and signed rental agreements. A simple floor-plan view that shows each hall's capacity under different seating layouts, such as banquet, theatre or cabaret, would help both us and our clients pick the right room.
We want a tool that reduces double-bookings to zero and gives us a running picture of the pipeline, from first enquiry to signed contract to event day. Clean, mobile-friendly screens matter because our coordinators are often on the floor rather than at a desk.
